What to Prepare Before Talking to an Automation or Software Agency

You do not need a perfect brief. A few facts make the first call far more useful.

Short answer

Before your call, write down the one task that costs you the most time, the tools you use today, how often the task happens, what a good result looks like and a rough budget range and timeline. A page of notes is enough for an agency to give you honest advice.

Seven things to write down

Keep each to a sentence or two:

  • The task or problem, in your own words
  • Who does it today and how long it takes
  • Which tools and systems are involved
  • How often it happens
  • What a good result looks like
  • Any data or compliance concerns
  • Budget range and timeline

Bring examples

A sample invoice, a screenshot of the current process or a typical customer message tells an agency more than a long description.

Questions to ask them

Ask how they would start small, what they would not recommend, who owns the code and data, and what happens after launch.

What a good first call feels like

You should leave with clearer thinking, an honest view of what is worth doing, and a next step such as a small paid or free prototype.

Questions we hear a lot

Do I need a technical background?

No. Describe the business problem. A good agency translates it into technical options.

Is the first call free with AUZMS?

Yes. We talk through your situation and say honestly whether and how we can help.
